Your Best People Are Doing Data Entry
Walk around almost any growing business and watch what your most experienced people are doing at 3 PM.
There’s a good chance you’ll find a senior manager copying information from one system into another. A salesperson formatting a spreadsheet. An account manager downloading documents, renaming them, and filing them into folders. A technician typing up notes from the day.
None of these people was hired to do that. But someone has to do it, and they’re the ones who know how.
How skilled people end up doing unskilled work
It usually starts small. A system doesn’t connect to another system, so someone copies the data across. A customer needs a document, so the person who knows where it is sends it. A report needs updating, so the manager does it because it’s quicker than explaining.
Each task takes ten or fifteen minutes. But they add up, and nobody ever adds them up. Over months, skilled people slowly turn into very expensive administrators.
The real cost
When your best people spend hours on routine admin, three things happen.
First, you’re paying senior wages for junior work. That’s the obvious one.
Second, the work only they can do slows down. The salesperson makes fewer calls. The manager spends less time coaching. The specialist takes longer to finish the projects that actually move the business forward.
Third, and most important, they get frustrated. Talented people want to use their skills. When their days fill up with copy-and-paste work, they start to wonder why they’re there. That’s often how good people end up leaving.
Find the hours first
Before you can fix this, you need to see it. Ask your key team members to track their time for a week. Not to judge them, but to spot patterns. Look for tasks that are:
- Repetitive and follow the same steps each time
- Rule-based, with clear right and wrong answers
- Done on a computer, without needing to be in the office
- Not dependent on their particular expertise
Most teams find a surprising amount of work in this category: data entry, document preparation, record updates, report building, filing, scheduling, and routine customer emails.
Then move it
Once you know what the work is, you can move it to someone whose job is to do it well.
This is where a dedicated back-office team member makes a real difference. They take over the repetitive work, follow documented steps, and become faster and more accurate at it than a busy expert ever could, because it’s their focus rather than an interruption.
Many growing businesses now fill this role with dedicated offshore staff. The work is well suited to remote teams, the cost is a fraction of a local hire, and the person works inside your systems under your rules.
What your team does with the time back
The best part of this change isn’t the cost savings. It’s what happens to your team.
Salespeople sell more. Managers manage better. Specialists finish the important work faster. And people who were quietly frustrated start enjoying their jobs again.
A simple question
If your most experienced person had ten extra hours next week, what would they do with them?
If the answer is something valuable, it’s worth finding out where those ten hours are going now.
At Apex Outsourced, we provide dedicated back-office staff who take repetitive work off your skilled team. If your best people are buried in admin, let’s talk.
